Q2.  What type of software do you have experience with?

All of our staff has experience in software varying from MYOB and Quicken to specialist accountancy software, superannuation software and proprietary software engineered for specialist companies. Ultimately all staff is trained in the accounting industry which allows them to quickly adapt to most software packages with minimal training. Where a package has not been used before, the staff undergoes a training period on that software and links are established with the software support team to ensure they able to undertake their tasks effectively.

Q3.  What cost savings can we expect?

Cost savings vary from 30% to 50% and sometimes higher for unique projects. We provide upfront quotations for all work undertaken. Each job that is new generally incurs an initial 'probationary' period during which costs may be higher while staff undertakes any training requirements and teams develop knowledge of the job required to be completed. This period is a fixed time, and costs will fall after this period.

Q4.  Can you undertake tax return work in the USA, Canada or the UK?

This type of work, if required, is often outsourced to a third party specialist group while we develop the appropriate skills within our teams, however, this is advanced and should the project be large enough can be fast tracked for those jobs.

Q5.  The teams seem to be small, how will they be able to handle large jobs?

Teams can be combined together or expanded (within limits) to accommodate jobs of varying sizes.

Q6.  How do we know our information is secure?

Through Axle IT we are able to provide computer systems (if you do not already have the appropriate system) that ensures no data ever leaves the country of origin and is always worked on in that country. Our staffs are unable to download or print data unless specific permission is provided. All staffs are maintained on above market salaries and every effort is undertaken to ensure temptation is removed as well as providing the multi-tiered structure for review and quality also ensures there are several levels of monitoring and control.

Q7.  What are your standard working hours?

The standard office hours for India are 7:00am to 4:00pm New Delhi (India) Time. This is 11:30am to 8:30pm Australian East Coast (Not accounting for daylight savings), 9:30pm to 5:30am New York (behind), 1:00am to 9:00am London (behind) and 9:30pm to 5:30am Ottawa (behind). The office is open Monday to Friday. However varying shifts including weekends are arranged to meet different countries’ time requirements – more often than not businesses prefer the international team to be operating overnight, however we generally try to overlap office hours between each country, for a few hours to allow discussions and queries to be answered during normal office hours of the country that is outsourcing.

Q8.  What are your typical turn around times on work?

Obviously turnaround time depends on volume, quality, time requirements and accuracy of data provided and complexity. Should a client require daily management reports, then turn around time is 12 hours from provision of final data to report presentation. It is generally considered appropriate to process each stage on a 24 hour maximum time schedule. However if data or information is missing this can result in delayed completion times. When a job is first taken on, each outsourcer generally have their own particular requirements, so we provide a 3 month probationary period during which costs may be higher and time lines may extend (all notified), while teams develop an understanding of all requirements – it is during this time that we undertake training of teams, allocation and appointment of team members to suit requirements and testing of data processing. For specific accounting outsourcing services provided by us, we ensure that every types of job can be suitably handled by our processing teams.

Q9.  What quality control measures do you enforce?

Consistent quality is the hallmark of our services. This is achieved through standard procedures enforced daily on all staff. We are people focused and staff retention and training are of the utmost importance to us. Variance from any set procedures is only permitted with approval from the client. The procedure as discussed in this web page ensures in the first instance that all data to be worked on is assessed for errors and that the team to work on this data comprehensively understand the job they are working on and the client and their requirements and expectations before they do any processing of data. The same team every time will be used for the same job. Many outsourcing groups move jobs and clients between teams, resulting in inconsistent and poor quality work. We believe that one team should operate with one client, unless specialists in other teams are needed. In addition to this, each team is controlled by a senior accountant with 10 or more years experience post-CA (Chartered Accountancy). These seniors assume not only control over work flow, but review all work being completed and sign-off before it is sent to the client.

During the probationary period, any agreement can be stopped immediately without any repercussions for either party, other than to pay for any work undertaken up to that time. However, we also find it very effective to undertake a few pilot projects to provide a demonstration of our services and quality, however, these are generally charged at reduced costs to you and do not include any costs for training or over-runs.
